Who we are
Penny On Call is a trading name of Phillip Humphreys, a sole trader registered in England and Wales. We provide an AI receptionist service for UK tradespeople.
This policy explains what data we collect, why, and what we do with it.
Our role
When you subscribe to Penny On Call, we act as a data processor for your customers' personal data (their name, phone number, and what they need). You are the data controller for your customers' data — it's your responsibility to let your customers know their details are being handled by an AI receptionist service on your behalf.
For your own account data (your name, email, phone number, business details), we are the data controller.
What we collect
- Your details — name, phone number, email, business name, trade, service area
- Your customers' details — phone number, name, what they need, location, availability (captured during conversations with Penny)
- Conversations — text messages between Penny and your customers
- Payment info — handled securely by Stripe (we never see your full card number)
- Calculator submissions — your email address, trade, and the numbers you entered (missed calls, job value)
- Website usage — cookies and Facebook Pixel data (see our Cookie Policy)
Why we collect it and our legal basis
- To run the service — Penny needs your business details to answer calls and chat with your customers properly. Legal basis: contract performance.
- To send you leads — we text you customer details so you can call them back. Legal basis: contract performance.
- To take payment — Stripe processes your subscription. Legal basis: contract performance.
- To improve Penny — we review conversations to make Penny better at her job. Legal basis: legitimate interest.
- To send your calculator report — when you use our missed call calculator, we email you a personalised report based on the numbers you entered. Legal basis: legitimate interest (you requested the report).
- To send follow-up tips — if you tick the box to receive our free email guide, we send a short series of emails with tips on capturing missed calls. You can unsubscribe from any email. Legal basis: consent.
- To show you relevant ads — Facebook Pixel helps us reach tradespeople who'd benefit from Penny. Legal basis: consent (only with your cookie consent).
Who we share it with
We share data with the following providers, all of whom are based in the United States and are covered by the UK Extension to the EU-US Data Privacy Framework:
- Twilio — handles phone calls and text messages
- Anthropic (Claude AI) — powers Penny's conversations
- Stripe — processes payments
- Facebook/Meta — advertising pixel (only with cookie consent)
We don't sell your data to anyone else.
How long we keep it
- Your account data — kept while your subscription is active and for 30 days after cancellation, then deleted.
- Conversations — kept for 90 days to help resolve any queries, then deleted.
- Lead details (customer name, number, what they need) — kept for 90 days, then deleted.
- Calculator submissions — kept for 12 months, then deleted.
- Payment records — kept for 6 years as required by HMRC.
Your rights
Under UK GDPR, you can:
- See your data — ask us what we hold about you
- Fix it — ask us to correct anything wrong
- Delete it — ask us to remove your data
- Take it with you — ask for a copy in a standard format
- Object — ask us to stop processing your data
- Complain — if you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ICO)
